Shipping of Official Records

To Member's district:

The House is authorized to pay cost for shipping Members documents to their districts. Instructions and assistance can be obtained by calling FRC at x62421.

• A shipping form must be completed and faxed or mailed to FRC for each shipment.
• Boxes are available (fee) at Office Supply Service, x53321.
• Each box must be labeled with Member's name and destination, and sealed.
• Superintendent will transfer your boxes to the palletizing / shipping site.
• FRC will arrange shipping of records in your Washington office and Archives in Suitland.

Archival Storage

Washington National Records Center, Suitland, MD provides archival storage for Members' official papers.

• Archival boxes are provided.
• Trucks make regular pick up / deliveries to Capitol Hill every Friday.
• Records can be shipped to Members' districts or destroyed by request.
• Archives must be cleared within 60 days of Member's retirement.

Deed of Gift

The Office of the Clerk has prepared a packet of material to assist with archival disposition of office files. Many Members donate their papers to a library or historical society. Guidelines for determining which files have historical value, criteria for selecting a repository, and a discussion of a deed of gift are included. x57000

Members' Purchase of Desk and Chair

An outgoing Member may purchase both personal desk and chair from the Washington office upon making written application to House Oversight, x52761.

Price of the desk is $1,000 / Price of the chair is $500.

Checks made payable to the US Treasury should accompany the request, the process initiated well before the last month in office.
Coordination of removal and/or crating for shipment is done through FRC, x62421.Crating is done by the Superintendent.
Shipping costs must be paid by the purchaser.

Note: This is an opportunity for a purchase only at the time of retirement. If these two items are not purchased at this time, they will be continued in use and assigned to new offices. Further, any furniture item considered special or antique are not eligible for purchase even though they may have been used in the Member's office. No other furniture or equipment may be purchased for the Washington office.
